When will I be paid?

You will be paid a week in arrears of hours worked, on a Friday. Payroll is processed on a Monday and you are paid the Friday of the same week into the account that you entered during the onboarding process.

Payslips are stored in Sage (separate to the timesheet system, Timesheet Portal). An email will be sent to you from Sage so you can register and login to access your payslips.

Submitting Timesheets

You will complete a weekly timesheet which must be submitted and approved by your Line Manager by 12 noon on Mondays. We highly recommend you submit your timesheet for approval on your last working day of each week to give your line manager sufficient time to authorise ahead of the deadline.

Timesheets should be submitted via our timesheet system, Timesheet Portal. You will receive your personal log-in details as part of the joining process. Watch the video tutorial below for instructions on submitting your timesheet.

Do I get holiday pay?

As a temp you accrue holiday pay as you work, which goes into a holiday fund that you can draw from when you want to take paid leave. You start accruing from the first week and our holiday year runs January to December.

Your holiday balance is displayed at the top of the ‘Holiday Accrual’ tab in Timesheet Portal.

Requesting Holiday Leave

Please ensure that you notify us and your Line Manager of any time off at least one week prior to your leave. Send an email confirmation to payrollteam@niche-rec.co.uk.

To claim your holiday, input the number of hours holiday you wish to take to the nearest quarter of an hour (e.g. 4.15 hours or 5.30 hours). Full instructions on how to do this can be viewed on the ‘How to’ video below.

Can’t make it to work?

If you have to take any unexpected absence from work you must notify Niche Recruitment by telephone on 01793 230469 by 9am latest on the day of absence. One of our team will then notify your place of work on your behalf.

It is essential that we are notified of your absence, you are legally employed by Niche Recruitment and, therefore, we have a responsibility for your whereabouts if you are meant to be at work. Please ensure you complete a Sickness form and return this to us for our auditing. Email payrollteam@niche-rec.co.uk to request a form.

Niche Recruitment offer Statutory Sick Pay (SSP) to you as a temporary worker. The first three days of sickness are classed as “waiting days” and are unpaid. From day 4 of any period of extended sickness, subject to supplying a doctor’s note, you are entitled to Statutory Sick Pay at the current rate.

why have i been put into a pension scheme?

Automatic enrolment is new legislation which means that all employers must enrol their workers into a workplace pension scheme automatically. A workplace pension is a way of saving for your retirement that’s arranged by your employer.

In addition to your contribution payments, Niche Recruitment will pay contributions to it every pay period, and the government will also contribute through tax relief. The money is then used to pay you an income when you retire.

All employers now must put their workers into a pension scheme if they earn over £10,000 per year, are aged 22 or over and are under state pension age. This is the law, because the government wants to get more people to have another income addition to the state pension when they retire.

Niche Recruitment have chosen The People Pension as their pension provider.

How do I opt out of the scheme?

You can opt out of the pension scheme if you want to, but if you stay in you will have your own personal pension when you retire. Your pension will belong to you, eve if you leave us in the future.

If you don’t want to make contributions, you will have to opt-out of the scheme. You can choose to leave the scheme by completing the form available from our pension provider below. Within the first month of enrolment you can opt-out and any contributions will be refunded to you.

You will receive a letter notifying you of your enrolment via the Sage payroll portal. To opt out, you will need your customer number (quoted in your letter or email) and your national insurance number.

We will provide you with full details of your assignment, including:

  • Confirmation of assignment, including details of the role, client, address, start date, pay rate and first day information.
  • Temporary contract of employment, which details the employment agreement between yourself and Niche Recruitment for the duration of your assignment.

As a duty of care to our clients, we will obtain references from your employers from the previous two years, as well as obtaining a character reference. Should you have any concerns regarding this then please let us know.

If you are working from home during your assignment your recruiter will organise for your IT equipment to be delivered/ready for collection on your first day.

If for any reason your circumstance changes, meaning that you cannot fulfil the terms of your temporary contract prior to starting, then please do let us know ASAP.

Your first day details will be confirmed by email prior to your start date.

Please ensure that you arrive promptly at the working address or dial in remotely if you are working from home, at the time stated on your booking confirmation in appropriate attire.

If working in office, please take your passport with you on your 1st day as proof of ID – some clients need this for security reasons to issue access cards.

Your Line Manager will take you through an induction on your first day, including a Health & Safety briefing, as well as training in your role – should you have any problems or concerns about this then please let us know, we are here to help!

We will endeavour to give you a date for the end of your assignment before you start temping through us. However, some assignments are extended, and some are, unfortunately, finished early.

We will give you as much notice as possible of any changes to your assignment and endeavour to give you a week’s notice if your assignment is going to finish early.

Should you need to leave your assignment earlier than the initial agreed end date then please give us a week’s notice in writing/by email – details are included in your contract.

Please ensure your laptop, IT equipment & any property belonging to your place of work is returned in the condition in which it was received. Your P45 and remaining holiday pay may be delayed if not returned at the end of your assignment.

The week after your final pay for the hours you worked, you will receive payment of any remaining holiday pay accrued and we will issue your P45.

Expenses can be claimed during your assignment for any work-related trips or purchases as agreed by your line manager.

You will then need to upload the total expense claim amount along with copies of receipts/invoices when submitting your timesheet ready for your line managers approval. Please note these need to be uploaded in time for the payroll cut off at 12 noon on a Monday for payment the following Friday.

Agency Worker Regulations

The Agency Workers Regulations came into force on October 1st 2011. The regulations give agency workers the same basic employment conditions, after 12 weeks of working for a company in the “same role”, as those that would have been applied if they were directly recruited by the hirer.

As your employer, Niche Recruitment will manage AWR on your behalf and ensure that you are on equivalent compensations to a permanent member of staff within the organisation for whom you are working, from week 13.

As a temporary worker, you are entitled to the same access to job vacancies as permanent members of staff, as well as collective facilities, such as staff canteens, childcare facilities and transport services.

What if I ask to leave the scheme but change my mind in the future?

You can ask to re-join the scheme by contacting us in writing by sending a letter which has to be signed by you. Or if you send it electronically, it has to contain the phrase, ‘I can confirm I personally submitted this notice to join a workplace pension scheme’.

If you earn more than £120 a week (£520 a month) we will pay into the pension scheme as well.

You can only re-join once in any 12 month period.

If I ask to leave the scheme, what happens after that?

Anyone who asks to leave, or stops paying into, the scheme will be put back into it at a later date (usually every three years if they meet certain criteria). This is because your circumstances may have changed and it may be the right time for you to start saving. We will contact you when this happens and you can ask to leave the scheme.

If I want to stay in the scheme, do I have to pay in?

You will pay in 5% of your earnings each pay period. This will be taken directly from your pay and may include tax relief from the government. We will also pay in 3% of your earnings each pay period. Therefore, the total amount put into your pension pot will be 8% of your earnings.
